Instructions for Using the Online Animal Release Request Form

  1. This online Animal Release Request is NOT to be confused with an Internal Animal Transfer Request.
    Release Requests are intended for special circumstances, such as release of timed-pregnant females and young pups, which are needed on a time-dependent basis; will be used for tissue collection within twenty-four hours; and will not be housed in any DLAM vivaria. All other animals (including those adult mice that will undergo terminal procedures), labs should plan ahead and submit an Internal Animal Transfer Request instead. With three (3) business days for processing, this will direct the mice to a PI-accessed housing location, for the lab to collect the mice whenever they need them.

    A reminder that any release that is not picked up by 12:00 PM the same day will be re-housed in an A4-level room. The lab will be billed for DLAM time spent in unpacking the mice and adding them back into the Transnetyx system.
  2. Only those requests which were submitted by your specific UCLA Logon will be viewable to you.
  3. Tracking information for the submitted release requests includes:
    • The Confirmation Number for the request also known as the ARQ#,
    • PI's Name,
    • Research\Experimental Protocol
    • Total number of animals to be released
    • Desired Release Date
    • Release request approval status

  5. An e-mail confirmation will be sent upon submission and an final e-mail notice will be sent to the requestor and, optionally, to the receiving Investigator when animals are ready for pick-up.

NOTE: All completed releases remaining in the pick-up locations after 12:00 PM on the day of release will be detained and remain on per-diem.

No releases will be completed on weekends or University Holidays!

Instructions for Submitting Online Internal Animal Transfer Requests

The online Internal Animal Transfer Request form is required for requesting transfer of animals between UCLA vivarium or between protocols.

The online form must be used for the following transfer types:

  • Facility-to-Facility
  • Room-to-Room
  • Protocol-to-Protocol
  • Investigator-to-Investigator
  1. All fields marked with a red asterisk * must be completed prior to submission of the transfer form.
  2. A comments section is available at the end of the form for providing additional information with your transfer request.
  3. (For PI Accessible Areas Only): Mark the cage(s) to be transferred by labeling each with DLAM pre-printed PINK "Please Transfer" Post-Its. Check with the facility supervisor in your area for information regarding Transfer Post-It supplies.
  4. Please allow (3) working days, (excluding weekends and holidays), for the completion of all transfers. Please plan your requests accordingly!
  5. Transfer requests submitted after 12:00PM will be processed the following business day.
  6. For security reasons, the list will only display transfer requests submitted by the UCLA Logon ID of each respective requestor.
  7. The Requestor, New Lab Contact and New Investigator will receive e-mail confirmation containing final location details once the transfer has been completed.

Animal Shipping Requests

Acquiring and Housing Vertebrates:

All arrangements for acquiring and housing vertebrate animals, from any source, must be made through DLAM, except as described below. Arrangements for housing must be made before an order will be placed. Live vertebrate animals may not be purchased or otherwise acquired until a fully approved protocol is on file with the ARC. Importing into UCLA:

All import requests must be submitted at least 21 days in advance. This does not guarantee the animals will be approved for arrival within the requested timeframe. You will not be able to submit request without the required fields being completed. The lab contact will be the name listed on the cage card. The lab contact needs to be listed on the protocol. This person will be the point of contact for health cases. Chrome should be used. There will be an import fee billed to the recharge ID provided. The import fees can be found under, “Rodent surveillance” on the per diem rate sheet. It is up to the Investigator to recover funds if not paying for the shipment. All email communication should be sent to DLAM Animal Shipping dlamasr@mednet.ucla.edu.

Exporting from UCLA

All export requests must be submitted at least 21 days in advance of requested shipment. This does not guarantee that the shipment will be sent on the request day. You will not be able to submit request without all the required fields being completed. The barcode number will be needed for each cage you wish to be shipped. All cages will need to have “Vet check for Transfer” tags on them before the vet inspection can be done. Mice in the DLAM Managed Breeding should use the Transnetyx ID (you will not have a barcode for these mice). There will be an export fee charged to each export. The fee for shipments can be found under “Service Description” on the Per diem rate sheet. It is up to the Investigator to recover funds if not paying for the shipment.
